Heartscapes collects personal information – such as names, addresses and telephone numbers – that is necessary for its activities including:

• Creating new members

• Managing memberships

• Responding to enquiries

• Onboarding / offboarding volunteers

• Keeping you informed of upcoming events, promotions, and new information

• Conducting surveys to support and grow our work

• Assisting us to provide our services to you

We generally collect personal information directly from individuals e.g. when you make a donation or become a member.

We collect banking or credit card details if you want to make payments (e.g. donations, membership fees) or receive payments (e.g. reimbursement of volunteer expenses).

If you volunteer, we may collect health information from you. We do this in case a medical condition affects your ability to participate, needs further management or is relevant in an emergency. We collect information about all first aid or emergency incidents.

If you're an emergency contact (e.g. next of kin), we collect your personal information from the person who nominated you (e.g. reserve visitor, volunteer). We have no means to collect it directly from you.

This information is collected in a number of ways:

• Via your completion of a membership/donation/volunteer form, or by completion of forms such as this.

• Your contact with us by telephone, mail, at a seminar or meeting, or electronic mail or online enquiries.

Any information you provide will be retained and used only for our services to you.

We generally use your personal information only in the areas of Heartscapes that are relevant to the purposes for which it was provided.

We are required by law to allow members to inspect the membership register and to take copies. 

We take steps to ensure that the personal information we collect is accurate, up to date and complete. These steps include maintaining and updating personal information when we're advised by individuals that their personal information has changed, and at other times as necessary.
